It would be beneficial to add a feature that allows users to directly add invoice items to the PO when uploading an invoice and matching items. Currently, users must exit the invoice, edit the PO separately, and then return to match line items. A button should be introduced to copy invoice items directly to the PO. If the item doesn’t already exist on the PO, the button should create and link it, updating the PO accordingly. Additionally, provide a filter option for users to view only items with discrepancies, where linked PO and invoice items have mismatched descriptions, unit prices, or quantities.

Several compliance findings raised during invoice and PO scans relate to grant-level obligations, such as annual audit requirements, local match tracking, and insurance certificates that are not relevant to individual invoices. These findings require users to source documentation (e.g. insurance certificates from prior years) that has no bearing on whether a specific invoice should be approved.
Suggestion:
Support uploading standing compliance documents (e.g. insurance certificates, audit confirmations) at the company level for broad applicability, or at the policy level for grant-specific requirements, so they are automatically available to the compliance checker without manual re-attachment each time.

The policy checker is unable to extract cumulative billing totals and task descriptions when they appear in a cover letter or narrative section of an invoice rather than in the line-item table. This results in false-positive compliance flags that require manual justification, even when the required information is clearly present in the uploaded document. The system should parse all pages of an uploaded document, including narrative and summary sections before generating compliance violations.

When multiple vendor quotes are received on an RFQ, use AI to compare them against each other on a like-for-like basis. Vendor quotes often differ in structure, some may be missing line items, others may list slightly different product specifications or descriptions for what is essentially the same item. Rather than leaving buyers to reconcile these differences manually, AI could normalise the quotes, flag discrepancies, and surface a clear comparison so buyers can make an informed decision. Similar to how the Policy Checker and Price Check features apply AI to purchasing decisions, this would bring the same intelligence into the vendor selection stage of the RFQ process.

Currently, the QuickBooks Online integration requires customers to choose between category-based sync or line item-based sync — but in practice, many customers need both.

You may want line items for detailed PO tracking and reporting inside ProcurementExpress, while also needing category mapping to ensure expenses post correctly to the right accounts in QBO. Forcing an either/or choice creates a workaround burden: customers either lose granularity on the QBO side or lose meaningful categorisation on the PEX side. The request is to support a hybrid sync model where line items are passed through to QBO and category mapping can be applied simultaneously, giving customers accurate data in both systems without compromise.

Balance sheet / prepaid account support for product expense accounts (QBO line item integration)

This is for theQBO line item integration
Currently, when creating or editing a product in Procurement Express, only expense accounts are available to assign as the linked account. This means balance sheet accounts (e.g. prepaid expenses, accounts in the 12000 range) cannot be selected.

For businesses that record certain costs - such as annual service contracts - under a prepaid account and expense them monthly over the contract period, this creates a workaround: the PO syncs to an incorrect expense account in QuickBooks, and the user then has to manually zero it out and re-record it under the correct prepaid account.

Requested behaviour:
Allow users to select any account type - including balance sheet accounts - when assigning an expense account to a product, consistent with how QuickBooks itself handles account assignment.

Native recurring invoices, or reliable sync of recurring invoices from QuickBooks / Bill.com

Many businesses have fixed recurring costs (rent, retainers, subscriptions) that are invoiced on a regular schedule. These are typically set up as recurring invoices in QuickBooks or Bill.com — but they do not sync into ProcurementExpress, creating a significant manual overhead.
Current workaround: Users must manually create 12 individual invoices at the start of each year to replicate a single recurring invoice. This is time-consuming and error-prone.
Requested enhancement (either solution would be valuable):

Option A – Native recurring invoices: Allow users to create an invoice template within PEX with a defined recurrence schedule (weekly / monthly / quarterly / annually), automatically generating each instance on the due date
Option B – Improved accounting sync: Ensure that recurring invoices created in QuickBooks or Bill.com are recognised and synced into PEX correctly, rather than being silently skipped

Enhanced Allocation Functionality — QuickBooks Field Selection per Line & Budget Balance Visibility

Summary: Two related improvements to make the allocations feature more accurate and usable for teams managing multi-category purchases across multiple budgets.
Use Case: When a single PO (e.g., an Amazon order) contains items spanning multiple GL accounts (e.g., Office Supplies and Lab Consumables) and multiple departments, users need to both assign the correct QuickBooks properties per allocation line and see available budget balances in real time before confirming the split.
Requested Changes:

1. Allow GL Account, Customer, and Class to be assigned individually to each allocation line, rather than applying a single account across the entire PO.
2. Display the remaining available balance next to each budget option on the allocation screen, with a clear warning if the allocated amount exceeds available funds.

Expected Outcome: Users can accurately split mixed-category orders

Suppliers frequently attempt to log in via the main app sign-in page (app.procurementexpress.com) instead of the supplier portal, resulting in failed login attempts and unnecessary support requests. While a "Login as a Supplier" link already exists at the bottom of the sign-in page, it is not prominent enough to catch attention before suppliers attempt to log in. The sign-in page needs to make the distinction between customer and supplier login more immediately obvious — without adding friction to the existing customer login experience. Proposed solutions include a tab switcher above the form, a more visually prominent supplier link, or a secondary outlined button within the login flow.
